Stand-Alone Features

Cannon Electronics, Inc. has a number of Stand-Alone Automated Attendant - Voice Mail Systems available. The system that is right for you is dependant upon the features that you require. The following is a list of some of the features that are available on Stand-Alone Automated Attendant - Voice Mail systems, but it is not possible to list all available features here. Not all of the features listed are available on every system and feature descriptions may vary slightly from one system to another. ALERT OF UNANSWERED MESSAGES
- Should messages in a box or group of boxes go unanswered for a specific period of time, a secretary or supervisor can be notified. The Automated Attendant - Voice Mail system will actually inform the recipient of this notification as to how many messages have not been answered.

BROADCAST MESSAGE
- The System Administrator may record a special message, which will be heard by all Users when they access their own mailboxes.

BUSY GREETING
- In addition to personal greetings, a mailbox User may choose either the system's standard busy greeting or create his own custom busy greeting to play to callers when he is on the phone. This feature may be locked "on" thereby preventing a change of the busy greeting.

CALL HOLD/QUEUE
- When enabled, this feature allows the Automated Attendant - Voice Mail system to give callers who are transferred to a busy station the opportunity to press * to hold. If there is more than one caller waiting for a busy station, the Automated Attendant - Voice Mail system will advise them which position they occupy in this queue.

CALL SCREENING
- When enabled, this feature requires callers to record their name before being transferred to an extension/mailbox. This recording is played to the recipient of the call so he may choose to accept or reject it. If the call is rejected, the Automated Attendant - Voice Mail system will forward the caller directly to that mailbox which will play the personal greeting and take a message. If accepted, the Automated Attendant - Voice Mail system connects the call. This feature may be locked "on" or "off" at any selected mailbox.

CALL TRANSFER
- The Automated Attendant - Voice Mail system's automated attendant feature will ask a caller to enter their desired extension number and, when entered, transfer the call accordingly. The Automated Attendant - Voice Mail system may also be programmed to transfer calls that are connected via Centrex lines.

CALLEE IDENTIFICATION
- The Automated Attendant - Voice Mail system can play the name associated with the User mailbox number the caller dialed. This name is heard by the party answering the transferred call and is most commonly used when more than one User mailbox is assigned to the same extension telephone.

This feature can be used in conjunction with "Call Screening". If the party that answers the call is not the recipient, the call can be redirected to the desired party's mailbox by dialing "2".

COPY BOXES
- Messages left in one mailbox can be simultaneously recorded in another mailbox. This allows departmental heads, supervisors, etc. to have access to messages for departments, sales representatives, part-time personnel, etc. Retrieving messages from a copy box does not affect the status of the message in the primary box.

DO NOT DISTURB
- When enabled, this feature will process a caller directly to a mailbox so he may leave a message without ever ringing the phone extension. This feature is also enabled on mailboxes that do not have an associated phone (i.e., field personnel, manufacturing personnel, etc.) This feature may be locked "on" or "off" at any selected mailbox.

DIRECTORY ASSISTANCE
- This feature allows callers to enter the first three letters of the first or last name of the person they are calling to find out the correct extension/mailbox number. Once the Automated Attendant - Voice Mail system finds a match to the letters entered, it will "speak" the name and extension number. The caller then enters that extension number to transfer accordingly.

DISTRIBUTION LISTS
- Each mailbox User may define private distribution lists with an unlimited number of members (mailboxes) on each, for his personal use when sending a message from his mailbox. A copy of his message will be sent to all of the mailboxes on that list. In addition, the Administrator may define Public Distribution Lists that all Users may access.

DTMF INTERRUPT DIALING
- The Automated Attendant - Voice Mail system allows a caller to interrupt the playback of menu options by pressing any key on the DTMF dial pad. This feature allows sophisticated User's to dial ahead of system prompts to access their desired option more quickly.

FAX CALLING (CNG) TONE RECOGNITION
- All Automated Attendant - Voice Mail system ports have FAX CNG tone recognition. Incoming faxes having a CNG tone can automatically transfer to a fax machine that is part of the telephone system.

FAX MAIL (STORE AND FORWARD)
- Users can have information faxed to them directly and stored for retrieval at a later time. When ready they can call and direct the documents to a local fax or to one at a remote location. The request process is as simple as picking up your voice mail.

FAX ON DEMAND
- Promotional information can be stored in the Automated Attendant - Voice Mail system, then retrieved via fax by clients or potential customers. The Automated Attendant - Voice Mail system offers the calling party a menu of available information. Then by entering their fax number, the calling party can receive that information in minutes or if calling from a machine the documents can be retrieved while they wait.

FLEXIBLE REPORT GENERATION
- The System Administrator may choose to have the Automated Attendant - Voice Mail system sort Extension/Mailbox information in a wide variety of ways for report generation. Each field on the User's screen may be marked to have the Automated Attendant - Voice Mail system automatically retrieve and print the associated data in whatever order is required. This information may be displayed on the monitor screen, printed, stored, and even exported to most spreadsheet or database programs as needed.

FUTURE DELIVERY
- A message may be recorded and scheduled to be sent to a User or group of Users at a future date and time.

GREETING BYPASS
- By pressing the # sign twice your callers can bypass your greeting and go directly to leaving you a message.

GUEST MAILBOXES
- Each mailbox User may set up a temporary or "guest" mailbox for a client, colleague, or family member. These "guest" mailboxes are used to facilitate communication between the Host (User) and his Guest only. Once created, a Guest may access their mailbox, using their security code, to send and/or retrieve messages to and from his host. A User may create, delete, and review their own list of guest mailboxes at any time from a touch tone phone.

INFORMATION RETRIEVAL
- This feature allows routine caller questions to be answered and recorded in the form of a mailbox greeting. Callers in need of this information are transferred to the mailbox where this information is played back accurately and efficiently without employee intervention.

LINKING
- The Automated Attendant - Voice Mail system may link mailboxes together to accomplish a "series" of call processing functions for a variety of applications. Linking of mailboxes can be controlled on a per hour per day basis. This token programming language allows you to design virtually any call processing application, including fax services and interactive voice response.

LOCK, UNLOCK, AND RESET OF USER MAILBOXES
- The System Administrator may allow or prevent a User from accessing his mailbox. In addition, the Administrator may reset a mailbox to clear it of any stored messages and return option settings to default.

MAILBOX ADMINISTRATION
- The System Administrator has full control of mailbox management. Each mailbox record with all associated options can easily be displayed and changed as needed via the Automated Attendant - Voice Mail system monitor and keyboard.

MESSAGE FORWARDING
- This feature allows a mailbox User to forward any message received to another mailbox with or without an attached comment.

MESSAGE LENGTH (VARIABLE)
- The Automated Attendant - Voice Mail system allows the message length to be defined on an individual basis for each mailbox.

MESSAGE NOTIFICATION
- The Automated Attendant - Voice Mail system can provide notification to a station user. This is normally accomplished via a message waiting light or "stutter" dial tone. (This feature is telephone system dependent)

MESSAGE NOTIFICATION WITH HUNTING
- The Automated Attendant - Voice Mail system allows several types of message notification to be performed depending on the User's need. Notification via a beeper, cellular phone, home phone, message light, etc. may be programmed on an individual basis for each mailbox. Hunting notification allows the Automated Attendant - Voice Mail system to be programmed to perform several of these functions one after the other in an attempt to notify you of messages. Users may determine when notification should first occur, how frequently to repeat it, and the quantity of repeated attempts.

MESSAGE PLAYBACK VOLUME CONTROL
- A mailbox User may control the volume at which a message will be played back during message playback.

MESSAGE PURGING
- The Automated Attendant - Voice Mail system can be programmed to automatically delete old (already been played) messages that have been stored for a predefined period of time.

MESSAGE PLAYBACK CONTROLS
- The Automated Attendant - Voice Mail system allows Users to pause, skip forward or skip backwards in a message during message playback.

MESSAGE RETRIEVAL CONTROL
- A Mailbox User may determine the order in which messages will be played back. They may be played first in first out (FIFO) which is the default setting, or last in first out (LIFO) if they wish to hear the most recent message first.

MULTIPLE MAILBOX GREETING
- Each Mailbox User has the ability to record personal greetings which may be scheduled to play to callers when he is away from his desk.

MUSIC ON HOLD
- Callers who choose to hold for a busy station may listen to pre-recorded music as opposed to silence while they wait. The Automated Attendant - Voice Mail system's default Music On Hold (MOH) file can be re-recorded with customized music or any corporate advertisement desired.

NIGHT MODE
- The Automated Attendant - Voice Mail system can be programmed to play a different set of caller instructions for off-hours as opposed to those heard during business hours.

NAME RECORDINGS
- A User may record his name and extension, which the Automated Attendant - Voice Mail system will play for identification purposes during a variety of call processing functions.

ON LINE PROGRAMMING CHANGES
- In addition to the Automated Attendant - Voice Mail system's ability to make changes to Users mailboxes, the Automated Attendant - Voice Mail system now allows changes to the audiotext scripts and actual call flow or menu selections of a mailbox without the inconvenience of bringing the system off line.

PRIVATE MESSAGES
- Messages can be recorded for a User that are meant only for them to hear and cannot be accidentally forwarded to another User.

PROGRAMMABLE DIAL ACTIONS
- Through the use of the Automated Attendant - Voice Mail system programming language "tokens" when defining User mailboxes, the Automated Attendant - Voice Mail system can be instructed to perform a sequence of dial actions to accommodate virtually any call handling requirement.

REAL TIME PORT ACTIVITY DISPLAY
- This feature allows the System Administrator to view the "real time" activity of each port as it processes calls and performs notification functions.

RECEIPT VERIFICATION
- The Automated Attendant - Voice Mail system can alert you when the recipient of your message has listened to your message. This confirms that the message was received and played.

RELAY PAGING
- Relay Paging Notification allows a caller to enter his phone number so it may be relayed to a User's beeper to assure a quick response. With this type of notification the caller is prompted to enter his phone number instead of leaving a message for the party he is calling.

REMOTE ADMINISTRATION
- The Automated Attendant - Voice Mail system may be accessed remotely for programming. When accessed in this manner, all functions available to the System Administrator on-site are available remotely.

RING NO ANSWER FLEXIBILITY
- Each station may be individually programmed for the number of rings the Automated Attendant - Voice Mail system will wait before determining a ring no answer status (Range: 1 - 9 rings).

SECURITY CODE PROTECTION
- Each Mailbox User may define their own security code, which prevents unauthorized access to his mailbox and assures message confidentiality.

SCHEDULED GREETINGS
- The greetings available for each mailbox may be scheduled to play at any specified time or date as required. Greetings may also be scheduled to play only on certain days of the week. This feature may be locked "on" or "off" thereby preventing a change of the greeting.

BACKUP
- An optional backup drive (hard disk drive or Zip drive) may be installed in the Automated Attendant - Voice Mail system for backup of the Automated Attendant - Voice Mail system configuration settings, mailbox parameters, recorded greetings and messages. Backup can be started manually when desired or scheduled to be performed automatically at a certain time on a specified day.

TIME AND DATE STAMP
- This feature allows the date and time a message was received to be heard during message playback. This feature can be configured, per mailbox, to be played back automatically or on request per message.

URGENT MESSAGES
- A message can be recorded for a User with a priority header, making it the first message the User hears when picking up messages. Urgent messages may also provide an alternate method of notification from normal messages, e.g. a normal message would activate a message light on a telephone, but an urgent message would send notification to a digital pager.
